Procedure for Obtaining a School Transcript
The “Family Educational Rights and Privacy Act of 1974” prohibits the dissemination of information from student records without the written consent of the student if he/she is eighteen years of age or older, or the written consent of his/her parent(s) or legal guardian if he/she is under eighteen years of age.
The procedure for requesting a high school transcript or copy of a student’s record is listed below for your convenience. Please note that the procedure for requesting a student’s immunization record is the same. Copies of student records, transcripts, or immunization records are provided at no charge and require a minimum of 5 Business days for processing. Transcripts will be mailed to the address provided on the request. Please be aware there is only one Records Clerk for Chesterfield County Public Schools, therefore, due to vacation or illness, the processing time of five business days may need to be extended when she is out of the office.
Also, the diploma received by a student at the time of graduation is the only copy. There are no copies, nor are they duplicated. A transcript is the only verification of education/graduation we can provide.

- Include your FULL name when attending school
- Please indicate the last name used on school records (for example, we require the maiden name of women who have married since leaving school or the married name for women who married while attending school)

- Include the last Chesterfield County School attended
- Include your graduation date or the last year attended
- Include whether the transcript should be official or unofficial
Official-to be used for DMV, Education, Vital Statistics, Employment –-received in a sealed envelope NOT to be opened by student
Unofficial-to be used for personal records or employment – received in envelope accessible by student
- Include the last four digits of your social security number for verification
- Include your date of birth
- Include your daytime phone number

- Transcripts will be mailed to you, therefore, you must include the complete, legible, mailing address. If you do not require an official transcript, and prefer that we fax your transcript, you must provide a contact name with the fax number.

From Chippenham Parkway; take the Hopkins Road exit and go east to Cogbill Road. Turn right on Cogbill Road then right into the second driveway by the marquee for the Thomas Fulghum Center. Continue through the parking lot to the front of the building and enter through the glass doors. Upon entering the building you will find a table located to your left. On this table you will find a Transcript Request Form to be completed, as well as the procedure for requesting your transcript. Once completed, the Transcript Request Form, along with your identification, will be verified so that your transcript can be processed.
